Email Route Audit · Email deliverability
Your domain passes every check. So why does one person's email land in spam?
Send us the same email from every tool you use. Within 48 hours you get a Matano IT report that shows how each one arrived, what the receiving filters saw, and what to fix, in plain English.
- $249, one time. Priced before anything starts.
- Report within 48 hours of your test emails arriving.
- No access to your systems. No logins, no admin rights, no DNS access.
Who it is for
- Recruiting and staffing firms. A day of outbound mail is the business, and a candidate or client who never sees your note is a placement that never starts.
- Sales teams running sequences. Your sequencer, your CRM and your reps' own mailboxes all send as you, and each one takes its own path.
- Any business whose replies dried up. Nothing changed that you know of, the records look fine, and people say they never got it.
The problem
A reading of your published DNS records is useful, and it is where the work starts. But your mail does not leave from one place. It leaves from your Microsoft 365 or Google mailbox, from your sales sequencer, from your CRM, from a relay somebody set up years ago, and from every rep's own inbox.
Each of those is a separate route. Each one can pass SPF, DKIM and DMARC and still look wrong to a spam filter: a sending server with no proper name, an address on a blocklist, a link that says one thing and goes somewhere else, or tracking on every link that makes a personal note read like bulk mail.
A clean domain does not vouch for every route, and a check of your published records cannot see any of this. The only way to see what a receiver sees is to send a real message down each route and read what arrived.
What you get
A private report link, branded Matano IT, that compares every route side by side.
- Authentication as received. SPF, DKIM and DMARC the way the receiving server saw them, and whether each one aligns with your From address.
- Sender identity. Whether From, Reply-To and Return-Path agree with each other, route by route.
- The real sending server. The actual IP and service that delivered the message, and whether its reverse DNS name matches.
- Blocklists. The sending IP and your domains checked against the major IP and domain blocklists.
- Link tracking. Which routes rewrite your links through tracking redirects, and where those redirects go.
- Links that do not match their text. Any link whose visible words point one place and whose real address points another. Filters treat that as a phishing sign.
- Content and spam triggers. Wording and formatting that filters score against you, ranked by how much each one matters.
- Plain-English fixes. What to change, in what order, written so you or whoever runs your email can act on it.
How it works
- Get started. Tell us the domain and the tools you send from, and we send you a private intake address.
- Send the same email from everywhere. Your mailbox, your sequencer, your CRM, a rep's inbox, anything that sends as you. Same message, every route.
- Read your report. Within 48 hours you get the report link, with every route compared and every fix listed.
A real case
A New Jersey recruiting firm sent the same email three ways. All three passed SPF, DKIM and DMARC. A reading of the domain's published records would have called all three fine.
Clean
Sent from Microsoft 365
Clean, nothing to fix. The direct route was doing everything right.
Flagged
Sent through their sequencer
Two things a filter will hold against it. Every link went through a tracking redirect, and the visible email address in the signature linked to a tracker instead of a mailbox.
Flagged
Sent from a rep's mailbox
Two things a filter will hold against it. The visible email address linked to a different person's address, the owner's. To a filter, text that shows one address and links to another reads as phishing.
Same firm, same message, same passing records. Two of the three routes were giving filters a reason to doubt them, and none of it showed up in a reading of the domain.
What it is, and what it is not
The audit shows how your mail arrived and what the filters see. It is not an inbox placement test, and nobody can promise where a given message will land at a given company. What we can show you is the evidence each route hands the receiver, and what to change so that evidence works for you.
What it costs
$249
One time, report within 48 hours
Up to five routes compared, the findings written out, and the fixes in the order they are worth doing. Yours to act on with us or without us.
Ask about ongoing monitoring once the routes are clean.
Before you ask.
Do you need access to our systems?
No. You send emails to the intake address and that is all we need. No logins, no admin access, no DNS access.
Is this an inbox placement test?
No. It reads how each message arrived and what the receiving filters see: authentication, sender identity, the sending server, blocklists, links and content. That is the evidence filters decide on. It does not promise where a message will land.
What exactly do we send?
One real email, the kind you send every day, sent once from each tool or mailbox you use. A sales note, a candidate outreach, a proposal cover note. Leave out anything confidential if you like; we read the route, the headers, the links and the wording.
Our domain already passes every check. Why would we need this?
That is the case this audit was built for. A passing domain tells you your records are published. It does not tell you how your sequencer rewrites links, which server a rep's mail really leaves from, or whether a signature link reads as phishing. Those live in the message, not in DNS.
We already have an IT company.
That is fine and common. The report is written so it can go straight to whoever runs your email today. Nothing here asks you to change providers.
What happens after the report?
You get the fixes in plain English and can make them yourself, hand them to your IT, or ask us to do them. If you want the routes watched after that, ask about ongoing monitoring.
